LET'S BE CLEAR STATEMENT:
If you are traveling and you have made a deposit, then you have agreed to all the terms and conditions. You voluntarily signing up for the trip and are responsible for reading the fine print and making your payment in a timely manner as organized by the individual trip.
If you are travel domestically or internationally, you are therefore responsible for making sure you have the appropriate travel documents that include passport, visa, immunizations, whatever else that place is requiring. The internet is full of resources and our travel agency is available to assist you with any questions, but in the end, you are taking the trip, so you must be held accountable. Also, if you are traveling, then you must expect that you could encounter a flight delay, cancellation or whatever. Keep an open mind when traveling and have some flexibility. Elite Travel Queens/Hayes Executive Travel is not responsible for those we can't control, but the great thing is that we will be here to help you along the way. You should always come on a trip prepared, have a great attitude and ask any questions that you need so you are clear on the travel expectations. Again, please make sure you are prepared for you trip. If you show up at the airports, train stations, ferries whatever without your proper documents, you may be denied boarding, you may be required to pay for any rebooking’s etc. Elite Travel Queens/ Hayes Executive Travel is not responsible or liable for you not having your stuff in order.

DEPOSITS:
A nonrefundable deposit of usually 20% is required to secure your vacation package, unless otherwise notated.
No reservation is considered confirmed until a deposit is received. Visa, Mastercard, and Discover are acceptable forms of payments. Deposits can be made securely through a payment link that Elite Travel Queens/Hayes Executive Travel will send to you. Our payment links will be from PayPal or Square unless otherwise noted. Final payment on most packages must be received no later than 90 days prior to departure unless otherwise noted on the signed payment agreement. Be sure to read the rules of the trip before accepting. We do not accept payments via CashApp , Venmo or other payment vendors not on our approved list.
If you are unable to complete paying for a trip, your payments maybe nonrefundable. We will make every effort to work with you, hence why we recommend you purchase travel insurance.
Note that some itineraries may require an additional non-refundable deposit for itineraries that include private homes, yachts, and charter flights, group air travel etc. Those items may require an additional deposit or up to full payment to secure the service.
Once your final payment has been made, your travel documents will be delivered to you via email or mail no later than 30 days prior to initial departure.
Currency and Taxes:
All rates are subject to change based on the exchange rates for international travel. Elite Travel Queens/Hayes Executive Travel reserves the right to correct any errors in pricing.
Airlines Tickets:
Your airlines tickets rates are not guaranteed until tickets have been ticketed and paid for in full. You agree to follow the contract of carriage rules for the airlines supplier in which you have airline tickets booked on.
SUPPLIERS:
We used the best suppliers for the packages and products that we offer. Each supplier has their own terms and conditions that are directly to Elite Travel Queens/ Hayes Executive Travel. You as the customer agree to abide by the terms and conditions of purchase and agree to be compliant with all the rules and regulations set for the by those agreements. You understand that any violations of those suppliers’ conditions may result in cancellation of your reservation in which you can be denied access to any hotels, cruises, anything we have included in a package, forfeiting any monies paid toward the reservation and the travel agency. You are completely responsible for all charges, fees, taxes that may arise from your travel booking through Elite Travel Queens/ Hayes Executive Travel.
CORONAVIRUS (COVID-19):
By you signing up for any travel services offered, you understand the risk related to travel …
There is an inherent risk of exposure to COVID-19 exists in any public space where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. According to the Centers for Disease Control and Prevention, senior citizens and those with underlying medical conditions are especially vulnerable.
You acknowledge that you’re voluntarily assuming all risks related to exposure to COVID-19 and any other airborne viruses. Elite Travel Queens/Hayes Executive Travel is not liable if I become sick or contract COVID-19 during travel. Elite Travel Queens/Hayes Executive Travel strongly recommends each traveler to assess their level of risk tolerance. You (for yourself and on behalf of your aforesaid traveling companions and each of your and their family, spouse, estate, heirs, executors, administrators, assigns, and personal representatives) covenant not to sue and release, waive and discharge Elite Travel Queens/Hayes Executive Travel from any and all liability, claims, demands, actions, and causes of action whatsoever, directly or indirectly arising out of or related to any loss, damage, or injury, including death, that may be sustained by you or your aforesaid traveling companions related to COVID-19, or similar virus. If I am traveling outside of North America, I am responsible for checking all travel related requirements of the countries I am visiting and I am 100% liable for any paperwork, testing and testing procedures required by each country, state or province of the local laws in each country. Any disrupted travel due to non-compliance with countries protocol due to Covid-19 is the full responsibility of the traveler.
We urge you to check the latest guidance from the CDC and the State Department travel advisories, and review the individual supplier’s websites before traveling (CDC: https://www.cdc.gov/coronavirus/2019-ncov/travelers/travel-in-the-us.html and State Department: https://covid19.state.gov/) and World Health Organization https://www.who.int/health-topics.
CREDIT /DEBIT CARD CHARGEBACK POLICY:
Visa, Mastercard, and Discover are acceptable forms of payments. Deposits can be made securely through a payment link that Elite Travel Queens/Hayes Executive Travel will send to you. Our payment links will be from PayPal or Square unless otherwise noted.
We would appreciate the opportunity to address any issues in advance and we ask that you not file a chargeback before any issues can be addressed.
By you manually inputting your credit card information into a payment link, you are hereby agreeing to the applied charges and agree NOT to "chargeback".
What is a chargeback? A chargeback is a return of money to the payer for a transaction, most credit card transactions. The chargeback reverses a money transfer from the consumers back account, line of credit or credit card. This commonly happens when someone dispute a charge with their bank.
If Elite Travel Queens/ Hayes Executive Travel receives a charge back for a trip that you have entered into an agreement with us, your trip will face cancellation along with further investigation. The traveler
agrees to be responsible for any cost related to legal representation on the agency’s behalf if necessary. This is not the way to try and obtain a refund on a nonrefundable package.
PAYMENTS, CHANGES, CANCELLATIONS, REFUNDS:
All cancellations and changes must be in writing. Cancellation policies will vary based on the trip and suppliers’ terms and conditions for the trip we have prepared. You must agree to the terms and conditions of the cancellation policy before committing to the trip and you are required to acknowledge this with a signature. Our email address for any cancellations can be sent to info@hayesexecutivetravel.com and you should receive a reply within 24 hours. If you don't get an email response, you are responsible for reaching out to us again or calling us at 214-570-9090.
Any changes to an itinerary, you are subject to an increased cost for rebooking.
Any changes or cancellations will be at the expense of the passenger.
Travel Packages are non-transferrable.
Any refunds will be subject to our discretion and the rules of the package. Refunds will not be made for no-shows, early departures or any unused services. If a refund can't be provided, then we will review every option available including a possible future travel credit. Travel protection is recommended and may help with recovering a nonrefundable expense depending on your cancellation reason. Refunds are generally not offered, but we will review.
Note: All the package or travel services we offer will be quoted in USD. In your package, please take special note of any items that are not included such an item of a personal nature, passport, visa's, immunizations, airport fees that collected in country, sometimes the airfare, but are responsible for reading what's included in the package you choose etc.
Roommate:
If we offer a trip with a roommate assignment, we are not responsible or liable for any disagreements, thefts, squabbles that may result in you not being able to conclude with the trip. We will assign rooms to partners of like genders unless otherwise requested in writing. You are responsible for addressing in possible issues in a professional manner. If we are in the middle of a trip, a roommate switch may not be possible. In the event you decide that you want your own room, then you will be responsible for the single person package upgrade and the rooms and services are based on availability.
You will have access to your 24/7 emergency service.
PASSPORTS AND VISAS:
All travelers are required to have a valid government issued passport and visa if applicable. As the traveler you are responsible for ensuring you have the proper travel documents. If you don't have the proper documents, you risk forfeiting your trip and all the funds along with a full cancellation. No refunds will be administered. Hence that’s why we recommend travel insurance to possibly help in certain instances.
When traveling domestically or internationally, the U.S. Transportation Security Administration (TSA) and U.S. Department of Homeland Security (DHS) advise that everyone carry at least two forms of acceptable identification in order to board a flight. Acceptable identification can be found at http://www.tsa.gov/traveler-information/acceptable-ids;
Passengers are responsible for providing Elite Travel Queens the legal name that appears on the travel documents, NO nick names, none of that.
Please make note that the name, date of birth and gender should all match what you provide to us for your booking records. We strongly recommend that you take into account that certain countries will not admit a passenger, if their passport expires within six (6) months of the date of entry. Non-US citizens may require additional documentation.
If children are traveling, please take into account their age for all travel segments. Make note that some airlines will allow for example a child under 2 to travel domestically as a lap child on the airplane, but be careful that if that child has a birthday while on the trip and will be two or older then a seat is required, so you will need to purchase a seat from the start or purchase a return to make sure you are not embarrassed or have any issues at the airport. You are responsible for acknowledging this an Elite Travel Queens/ Hayes Executive Travel are not responsible or liable for fees associated with such changes for your ticket or packages purchased.
FLIGHTS, HOTELS, CRUISES, FERRY, TRAINS, BUSES CHANGES AND DELAYS:
Unfortunately, stuff happens, and delays may be incurred, but sometimes this is simply out of our control and Elite Travel Queens/Hayes Executive Travel is not responsible/liable for this. As the traveler, you can take up such a fuss directly with the supplier, but really and truly in the event of a delay, we will help you to determine the best course of action and try to help find a solution for our travelers and get you rebooked.
Hotels - If the hotel becomes unavailable for some reason, we have the right to book another hotel of the same quality or higher.
When it comes to cruises, ferries and trains, please expect that if there is a delay, we will work together to find a solution. We reserve the right to rebook you on the next best option. Itinerary changes on an cruise or ferry or train is the sole responsibility of that supplier. There could be several factors at hand as to why changes or cancellation must be made. Elite Travel Queens/Hayes Executive Travel cannot take any responsibility for any substitutions, changes decided by the supplier. Questions about any payments will be discussed with the supplier if necessary.
TRAVEL INSURANCE
Protect your stuff. By traveling with us, you are required to purchased travel insurance. Elite Travel Queens/ Hayes Executive Travel is NOT responsible or liable for any lost, damaged, stolen items or personal belongs, illness, death, upsets while on the trip, disappointments, trip interruptions due to weather or any unforeseen circumstances.

HEALTH CHECK-UP/ TRAVELERS WITH DISABILITIES
We welcome you to any of our trips, however you will need to access whether the trips daily activities will suit your physical condition. Elite Travel Queens/ Hayes Executive Travel does not offer any type of caregiver assistance services. If someone has a physical ailment, then you will be responsible for purchasing a package to include such caregiver.
Most of our trips will be fast paced, but you will need to keep up so that the other group members are feeling annoyed or disservice in any way. We recommend that you check with a medical professional before committing to an extended trip, especially internationally where you will encounter long flights, long walks and sometimes on unlevel grounds.
In the event of a medical emergency, by signing up on this trip you are granting us permission to call for medical assistance and to reach out to your emergency contact. Overall, you are welcome to join the trip, but you agree to be responsible and accept all the risk associated with traveling and you furthermore agree to review all options for the travel package you commit to booking.
AIRPORT CHECK-IN / TRAVEL DOCUMENTS:
You should plan to arrive at the airport with ample time to catch your flights. We recommend for domestic=check in at least 2 hours prior, international = 3 hours. While this is just a recommendation, you are ultimately responsible to make sure you get to the airport in good timing. If you know there is construction or it's rush hours, you are responsible for leaving at a reasonable time.
Please make sure you have all your proper travel documents, like passport, visa, vaccinations cards etc. for your travel destination.
INDIVIDUAL ENTRY AND EXIT REQUIREMENTS
Each foreign country holds different views regarding past criminal offenses, whether within or outside of their boundaries. If you have a current or past offense, and you are unsure how the country you are traveling to or through views that offense, please contact that country directly for entry and exit requirements. FORCE MAJEURE:
Neither party shall be held liable or responsible to the other party nor be deemed to have defaulted under or breached this Agreement for failure or delay in fulfilling or performing any obligation under this Agreement when such failure or delay is caused by or results from causes beyond the reasonable control of the affected party, including but not limited to fire, floods, embargoes, war, acts of war, insurrections, riots, strikes, lockouts or other labor disturbances, or acts of God; provided, however, that the party so
affected shall use reasonable commercial efforts to avoid or remove such causes of nonperformance and shall continue performance hereunder with reasonable dispatch whenever such causes are removed. Either party shall provide the other party with prompt written notice of any delay or failure to perform that occurs by reason of force majeure.
Elite Travel Queens/Hayes Executive Travel shall not be liable to you for any issues surrounding a "Force Majeure". We will do all possible to assist with postponing a trip, cancelling or whatever we can do to help remedy the unforeseen issue. You will be notified in writing as soon as we are aware of any situations and if we are able to obtain a refund from the suppliers that we have partners with for the trips planned, we will let you know the extent of those refunds if available.
PHOTOGRAPH AND VIDEO
Elite Travel Queens/ Hayes Executive Travel reserves the right to use any Photographs or video's taken during the confirmed travel events without the written permission of those included with in the photograph/video. Elite Travel Queens/Hayes Executive travel may use those photo's for future brochures, websites, invitations, etc. If you would like to request that your photo not be distributed, then you must contact us in writing and email that to use at info@hayesexecutivetravel.com with your reason and a picture.

Elite Travel Queens/ Hayes Executive Travel acts only as an agent for the airlines, hotels, bus companies, railroads, tour operators, cruise lines, car rental agencies, and other similar third parties providing accommodations, transportation, or other meeting and travel related services (“Suppliers”). Suppliers are independent and do not act for or on behalf of Elite Travel Queens/ Hayes Executive Travel, and are not employees of Hayes Executive Travel, and do not have a joint venture or partnership with Hayes Executive Travel. Suppliers have their own terms and conditions for the services they provide, and you agree to abide by the terms and conditions set forth in all documents for any such Supplier services, including, without limitation, all cancellation fees. By utilizing the services represented by this itinerary, you agree to the foregoing and also agree that neither Hayes Executive Travel or its parent, affiliates, subsidiaries, partners, agents, and their respective officers, directors, employees, and representatives shall be or become liable for any loss directly or indirectly, cost , expense, injury, illness, accident or damage to person or property resulting directly or indirectly from (i) the acts or omissions of Suppliers, including, but not limited to, delays or cancellation of services, negligence in or responsible for performing or providing these component services, cessation of operations, breakdown in machinery or equipment, or changes in fares, itineraries, or schedules; and/or (ii) acts of God, dangers incident to the sea, fires, acts of government or other authorities, wars , acts of terrorism, civil unrest, riots, thefts, strikes, epidemics, pandemics, quarantines, other diseases, climatic aberrations, or from any other cause beyond Elite Travel Queens / Hayes Executive Travel’s, control.
Hayes Executive Travel and/its affiliates are not responsible for any missed flight/delayed travel or any expenses related to travelers not having their appropriate travel documents for their planned trip.
SEVERABILITY
If any provision of this agreement shall be unlawful, void, or for any reason unenforceable, then that provision shall be deemed severable from this agreement and shall not affect the validity and enforceability of any remaining provisions.
